Service Bay Rules, Policies, and Procedures
Every shop needs them. Need we say more?

1) Every product used or consumed in the service department must be billed.

2) All services, materials contracted for, and merchandise must be placed on a work order. A work order must be stated before any car is brought into a service bay. For further information on work orders, please read work order guidelines in the policy manual.

3) Anyone who has embezzled funds, products or equipment will be discharged immediately and will face criminal charges.

4) No parts or equipment that is for personal use may be ordered by any employee without the knowledge and permission of the manager.

5) No parts or equipment that is for personal use may be charged to the shop without the managers knowledge and permission.

6) No parts may be special ordered by an employee without prepayment by the customer.

7) All employees cars must be parked in the area assigned by the service manager.

8) Employees may not work on their own vehicles while on business time. A work order must also be completed before beginning work on your own car, any merchandise, parts or supplies used must be listed immediately on the work order. All products used must be paid for when complete.

9) No employee will return to the service department after the shop is closed for the night.

10) No employee may offer discounts or credit to any customer unless prior approval of the manager is obtained.

11) No employee will release a car to a customer unless service and repairs have been completed and paid for.

12) If the customer is unknown & wants to test drive the car, someone must go with them, unless the repairs are paid for.

13) All employees are subject to security interview or drug test.

14) No tools or manuals are to be loaned.

15) No gasoline or other merchandise will be loaned.

16) Technicians should keep their boxes locked at night, and must carry their own insurance on their tools.

17) The use of our business phones should be for business calls or for an emergency.

18) Any poorly written work order, or work order without an odometer reading, or other illegal work order will result in a loss of commission and / or pay.

19) Safety eye wear must be worn on the brake lathe.

20) Technicians will supply their own tools.

21) A work order number must appear on all parts ordered for the parts stores and dealerships. These invoices are checked daily.

22) All employees are expected to report to work on time, neatly groomed, clean and in a complete uniform. This includes work shoes. No athletic shoes may be worn.

23) The consumption of alcoholic beverages or narcotics by an employee on the premises is forbidden.

24) No employee shall intentionally sell anything not needed to a customer.

25) No employee shall intentionally overcharge a customer.

26) No employee will remain after their shift has ended and the shift closes out.

27) No employee, except for the cash responsible employees will enter the cash box or cash register for any reason.

28) No employee will leave the shop for any unauthorized reason after reporting for work.

29) The cash register or cash box will remain closed except when making change.

30) No cash withdrawals are permitted.

31) Only authorized persons are allowed in the service bays. Our insurance coverage prohibits customers and others from being in the service area. Please handle this with subtle friendliness with customers. If there is a problem, see the manager.

32) All employees will participate in shop maintenance as outlined on the schedule.

33) All merchandise delivered must be checked against the packing slip before being signed for.

34) All checks must be accepted in adherence to our company policy.

35) All applicable credit card sales must be authorized before the credit card is returned to the customer and the transaction completed. For more information please read and refer to the credit card guide. All policies in the guide must be strictly adhered to.

36) Employees are not permitted to allow friends to visit them while at work.

37) Should you not be able to work on any day scheduled to work, it is your responsibility to find a replacement to work for you. Do not ask the service manager or owner to find you a replacement unless all efforts are exhausted and you can give a five (5) day notice. There will be no exceptions to this rule.

38) Any willful abuse of our company's purchase program will result in the loss of privileges for the employee and/or violator.

39) All forms of sexual and racial harassment are forbidden by Company policy. We will investigate all reports of harassment reported. Any employee accused of harassment conduct may result in discipline to that employee up to and including termination. For further information regarding our Company Policy prohibiting sexual and / or racial harassment, please read the enclosed statement contained in this Policy Manual.
